Why buyers update it themselves

You cannot see whether someone walked into your buyer's office. They can. Letting buyers record attendance means the number is right without anyone chasing an email, and when billing runs on shows it means the buyer is charged from their own reporting rather than your guess.

What the buyer sees

In the portal's leads table, appointment leads carry an appointment cell the buyer can change. They pick Booked, Showed, No-show, or Canceled, and the change takes effect immediately.

  • Only leads the buyer has accepted can be updated. A lead they rejected is not theirs to mark.
  • A buyer can only ever see and change their own leads.
  • Every change is written to the lead's timeline with who made it and when, so a disputed number can always be traced.

If a buyer is on per-appointment billing, marking an appointment Showed is what charges them. Tell them that when you onboard them. A buyer who does not realize the button is the invoice will not use it consistently.

The Qualified column

When a campaign tracks qualification, the portal shows a second column next to Appointment. It is where the review is recorded: Qualified or Unqualified. It only unlocks once the appointment is marked Showed, because there is nothing to review until the person has turned up.

If the buyer pays for qualified shows, this is the column that charges them, not the Appointment column. An appointment can sit at Showed for days without billing anything while it waits for a review.

If the buyer prefers not to log in

Most buyers with a real CRM would rather their system report it. Send their developer the webhook setup described in Appointments API & Webhooks. Both routes write to the same place, so you can mix them across buyers on one campaign.
