Bill buyers per appointment that shows up instead of per lead. Lock the payout at delivery, charge on Showed, and reverse automatically on a no-show or cancellation.

How it works

Per-appointment billing is a third way to charge a buyer, alongside per lead and per conversion. The buyer is not charged when the lead is delivered. They are charged when the appointment reaches the state you chose, which is normally Showed.

This is a limited-release feature. Contact support to have it turned on for your account. Until then, use outcome stages to track appointments, described in Track Appointments Without the Add-On.

Set it on the buyer

  • Open the campaign, then open the buyer you want to bill this way.
  • Set Payout Type to Per Appointment.
  • Set Payout Per Appointment to what they pay for one appointment.
  • Set Bill When to Appointment shows, Appointment is booked, or Appointment showed and qualified.

The price is locked at delivery

The payout is worked out and stored on the lead at the moment it is delivered, not at the moment it is billed. Changing the buyer's price later does not re-price appointments that already went out, so a price change never rewrites history or distorts a past month.

Conditional pricing rules still apply, so you can charge more for an appointment that meets a condition. The rule is evaluated at delivery, and whatever it produces is the amount locked in.

Reversals are automatic

If a billed appointment stops being billable, the revenue comes back off by itself. There is nothing to undo by hand.

  • Showed to No-show reverses the charge.
  • Showed to Canceled reverses the charge.
  • Qualified to Unqualified reverses the charge, when the buyer pays for qualified shows.
  • Moving back to Showed bills it again at the same locked price.
  • Every billing and reversal is written to the lead's timeline, so the history is always readable.

Billing on a qualified show

When Bill When is set to Appointment showed and qualified, two things have to be true before the buyer is charged: the appointment showed up, and a review marked it Qualified. Neither one bills on its own.

The two marks can arrive in either order. If someone reviews an appointment before anyone has confirmed the person turned up, nothing bills yet, and the payout releases the moment it is also marked Showed. It bills once, not twice.

An appointment nobody has reviewed yet is not billed. That is the point: the review queue is the gate, so a busy day of appointments never bills before someone has looked at them.

The dispute lever

Marking a lead Not Qualified blocks per-appointment billing entirely, even if the appointment is marked Showed. This is how a buyer disputes an appointment that technically happened but should not be paid for, such as the wrong person attending or an appointment booked in bad faith.

A lead that is Showed and Not Qualified at the same time is not a mistake. It records that the meeting happened and that it is not billable, which is exactly what you want in a dispute.

How do I bill a buyer per appointment instead of per lead?
Open the buyer on the campaign, set Payout Type to Per Appointment, enter the payout per appointment, and choose Bill When. Appointment shows charges when the appointment is marked Showed, which is what most buyers expect. Appointment is booked charges as soon as it is booked and puts the no-show risk on the buyer. Per-appointment billing is limited-release, so contact support to enable it.
What happens to the money if an appointment is a no-show?
Nothing is charged. If it had already been billed because someone marked it Showed first, the revenue is reversed automatically and both the original charge and the reversal appear on the lead's timeline. Moving it back to Showed bills it again at the same locked price.
Does changing a buyer's appointment price re-price past appointments?
No. The payout is calculated and locked onto the lead at delivery, so a later price change only affects appointments delivered after it. Past months are never rewritten.
How does a buyer dispute an appointment they should not pay for?
Mark the lead Not Qualified. That blocks per-appointment billing even when the appointment is marked Showed, so a meeting that happened but should not be paid for is recorded honestly rather than deleted.
How do I bill only for appointments that were worth paying for?
Turn on Track Appointment Qualification on the campaign, then set the buyer's Bill When to Appointment showed and qualified. Every appointment that shows up then waits for a review. Marking it Qualified releases the payout, marking it Unqualified leaves it at zero, and leaving it unreviewed keeps it unbilled.
What is the difference between Qualified and Converted?
Qualified asks whether the appointment was worth paying for, and it is what releases the payout. Converted, on the Outcome column, asks whether it turned into a customer later on. An appointment can be qualified and billable and still never close, so they are tracked as two separate columns.
Can an appointment be marked Qualified before it is marked Showed?
Yes, and nothing bills until both are in place. This matters when a CRM reports the two marks out of order. Whichever one lands second releases the payout, and it only ever bills once.
Can I charge different prices for different appointments?
Yes. Conditional pricing rules work with per-appointment billing. The rule is evaluated when the lead is delivered, and the amount it produces is the amount locked onto that appointment.
