Zoom Meetings for Booked Appointments

When someone books an appointment through Lead Distro AI, the rep who takes it gets a new Zoom meeting, hosted on their own Zoom account. The join link goes on the calendar invite and the confirmation. If the appointment moves, the meeting moves. If it is cancelled, the meeting is deleted.

What You Need

  • A Lead Distro AI workspace with booking calendars, and Zoom meetings switched on for it. Zoom meetings are in early access: email support@leaddistro.ai to switch them on.
  • A Zoom account for each rep who should host meetings. Free Zoom accounts work, but Zoom ends their meetings after 40 minutes.

Adding the App

Each rep connects their own Zoom. There are two ways:

  1. You connect it with the rep beside you. In Lead Distro AI, open Calendars, find the destination under its calendar, and click its reps. Open the menu on the rep's row and choose Connect Zoom. The rep signs in to Zoom in the window that opens and clicks Allow.
  2. You send the rep a link. From the same menu, choose Send a Zoom connect link. The rep opens the email, clicks Connect Zoom, signs in and clicks Allow. No Lead Distro AI account is needed. The link works once.

Zoom asks the rep to allow four things: create, update and delete meetings, and read their basic profile. If the rep's company requires approval for new Zoom apps, their Zoom admin approves Lead Distro AI once.

Using It

  1. Open the appointment campaign, then its Calendars tab, then Booking settings.
  2. Set Meeting type to Zoom (each rep's own account), then save.
  3. From then on, each new booking gets its own Zoom meeting on the assigned rep's account. The meeting topic is “Appointment with” and the rep's first name. It never contains the name of the person who booked.

A rep without Zoom connected is still booked. Their appointment uses the rep's own video link if they have one. Each destination's reps list shows which reps have Zoom, and flags any rep whose Zoom needs to be connected again.

Removing the App

Either of these stops Lead Distro AI from creating new Zoom meetings for a rep:

  • In Zoom: sign in to the Zoom App Marketplace, open Manage, then Added Apps, and click Remove next to Lead Distro AI.
  • In Lead Distro AI: open Calendars, find the destination under its calendar, and click its reps. Open the rep's menu and choose Disconnect Zoom.

After removal, new appointments for that rep use their own video link instead. Meetings already created stay in the rep's Zoom account, and their links keep working.

Data We Use and Delete

We store the rep's Zoom tokens (encrypted), their Zoom user and account ids, email and plan type, and for each appointment the id and join link of the meeting we created. We never read recordings, chats, participants or any meeting we did not create. When the app is removed in Zoom, we delete the tokens and account details for that Zoom user right away. Disconnect Zoom in Lead Distro AI does the same once no other rep row in your workspace uses that Zoom account. The full policy is in section 10b of our Privacy Policy.
